General information about the conference 

What is the theme of the conference? 

When will ICOM-11 take place? 

  • ICOM-11 online symposium will take place on 27th September 2023.  
  • ICOM-11 main conference in London will take place on 28th and 29th September 2023. 

Where will the conference take place? 

  • ICOM-11 online symposium will be held on Zoom. Links and passwords of all sessions will be sent to all registered attendees before the day.  
  • ICOM-11 main conference will be held in meeting rooms at Friends House, 173-177 Euston Road, London, UK, NW1 2BJ 

Will the main conference be hybrid and allow online participation? 

  • Unfortunately, the main conference in London will be fully in-person. The sessions will not be streaming for live interactions. However, you may register for the online symposium, which also gives you access to recordings of the onsite keynotes at a later time. 

Will you be able to organise a space for in-person attendees to attend the online day together? 

  • Sorry, this is not currently possible due to limited space.  

What will be recorded and made available to participants? 

  • For both the online symposium and the onsite conference, only keynotes will be recorded and made available to registered attendees once the recordings are ready.  
Registration and fee-paying 

Can you summarise the necessary steps for registration?  

  • For presenters: fill in the form, pay via the given link, send back finalised abstract, and get an email confirmation in late May or June 2023
  • For audiences: fill in the form, pay via the link, and receive an email with essential information on online attendance which is likely to be in September 2023

Why a two-part registration (form and payment through link) is needed? 

  • Simply speaking, the Form is for the conference organisers to gather the necessary information to prepare for the conference. The payment process is centrally organised by UCL.  
  • You may be asked to provide some information twice – apologies for this. Please ensure you provide the same name and email address for both the Registration Form and Payment system so that we can verify who has paid. 

I am in an online panel, do all presenters need to pay? 

  • Yes, for all people who are going to participate in the conference, you need to register and pay. For instance, if a panel consists of 4 co-authored abstracts and therefore 8 presenters, all 8 people need to register and pay if they plan to be there.  

I am in an offline panel, do all presenters need to pay? 

  • Yes, for all people who are going to participate in the conference, you need to register and pay. No matter if you are an individual presenter, a co-presenter or a panellist.  

I have more than one proposal being accepted. Do I need to pay multiple times?

  • No, you only need to pay once.

I am in an offline panel, what if one of our panellists can only attend online? 

  • Unfortunately, the conference cannot be supported in such a hybrid format.  

I registered and paid for the main conference in London, however, due to emergencies or other unexpected circumstances, I can no longer attend. What will happen? 

  • Please contact us at icom-11@ucl.ac.uk. We can discuss how we might be able to assist you in such circumstances. 

A group of us hope to attend the online symposium, can I register once and simply share the links with others? 

  • All attendees need to register and pay. The organisers will manage the attendees across the sessions. Sharing links and passwords without registration for the conference will cause Zoom meetings to be over their capacity and therefore problematic.  
Travel, accommodation, visa, accessibility, and other support 

Do you provide any assistance with hotel booking or travel tickets booking? 

  • We do not provide any assistance in booking your journey.  
  • Participants are expected to arrange accommodation themselves.
  • We do not have special hotel rates.

What are the visa requirements for the UK?  

  • You can check the UK Government’s Check Visa website to see if you need a visa to attend ICOM-11 

How can I get to the conference venue – Friends House? 

  • Address: Friends House, 173-177 Euston Road, London, NW1 2BJ 
  • Friends House is located in central London and close to UCL main campus and the Institute of Education. Travelling by train, underground, bus, bike, please see here https://www.friendshouse.co.uk/getting-here/  

Is there any parking space at the conference venue? 

  • Unfortunately there is no on-site parking available. The local roads have metered parking bays and fall within TfL charging zones. TFL driving information is available on the TFL website: tfl.gov.uk/modes/driving/.  
  • There are three disabled blue badge parking bays located in Endsleigh Gardens. Information about Camden Council parking is available on the Council’s website: www.camden.gov.uk/where-to-park

Will there be catering for ICOM-11? 

  • Yes. Light lunch, refreshment breaks, mocktail reception will be provided (subject to changes) 
  • The conference venue is alcohol-free. There are plenty of choices nearby if you would like to drink after the event. 

How can I provide dietary requirements? 

  • If you have dietary requirements, for example if you are vegan or have allergies, please write in the Registration Form so that we can do our best to accommodate your needs.

Is the conference venue accessible? 

  • The venue has step-free access and our meeting rooms can be accessed via lifts. For details please see here https://www.friendshouse.co.uk/accessibility/  
  • Please let us know your needs in the Registration Form so that we will be better prepared to help you. 
Conference programme and schedule 

When will you release the conference programme and schedule? 

  • We aim to provide a draft conference programme timetable by 30th June. 
  • The final sessions plan, together with slots, Zoom links and meetings rooms will be ready by mid-September 2023 
  • We will publish the schedule on the website and send to registered attendees by email. The password for Zoom meetings will only be sent by email.

Can I get a book of abstracts before the conference? 

  • Yes, you will be given a digital version of all accepted abstracts by mid-September

How can I get a certificate? 

  • Information on certificates will be announced later.
